Using the scheduler

Once logged in, the Scheduler has the following interfaces available:

Login: the monthly and the weekly calendar

As you can see, in the center of the screen appears a monthly calendar with the current day highlighted.

Clicking on any day, will open a new page containing the meetings scheduled for that day. If there is no meeting scheduled, the following will show:

The user with the privilege of Scheduler can click on the “New” button to insert a meeting:

At this point it is necessary to enter the name and title of the conference, the start time and the duration, and select the profile (template) of the meeting, deciding for example if it is a technical meeting, commercial, with little bandwidth, etc.

 

Clicking on the “Next” button the following screen appears:

As you can see, the page is divided into four fields that allow you to manage the presence of those invited to the meeting. Just simply select from the left column the names of the users (or direct the group to which they belong) and then click on the arrow to move them to the right column and allow them access.

When all participants are entered, continue by clicking Next.

The system allows, at this point, you to call any H.323 endpoint to the meeting. The mechanism is equal to the previous page. When finished, press the “Finish” button.

 

In case the email has been correctly set for each user registered on the easymeeting™ server, the system immediately sends an email to all users included to invite them to participate in the meeting, stating the date, time and name of the easymeeting conference to be used, and possibly the name of the conference if it was entered.

The screen will then be displayed as follows:

Go back to the “Calendar” and show the day we booked the meeting on. It will show as follows:

Obviously, the user Scheduler may modify or cancel a previously scheduled meeting. To do this, simply view the details of the meeting clicking on its name. The following screen will appear:

If you decide to press Delete, the system will require further confirmation:

At this point the system will advise the participants via email of the cancellation.
