Network profile

In this section you can set up the network configurations to use during conferences.

Manage conference – Network profile

      Registered network profiles: here are listed all network profiles that are created with their characteristics.

      Search: allows you to find what you want by typing all or part of the name.

      General: indicated here is the name of the network profile, the target to where it belongs, and any notes. There are five possible target choices:

EMOnCall: this target identifies the target of the conference used by the easymeetingOnCall agent.

Outlook: this target identifies the profiles used by the Outlook© plugin for easymeeting™.

Server: this target identifies the standard configuration of the profile used by the easymeeting™ Server.

VCM2EM: this target identifies the profiles used by VCM2EM system.

Wizard: this target identifies the profiles used by the conferences convened by easymeeting™ Scheduler.

      Type of allocation: allows you to choose the method of allocating directly in multicast and the port that will be used by the conference; if you choose the Auto mode they will be chosen based on parameters in the section M2M -> Allocator; however, if you choose the Manual mode you need to specify the base port and the multicast address that the conference should be using.

      Tunnel: allows you to choose whether or not to use the tunnel, the passphrase and the encoding to use. The passphrase is the password used or the encryption of the tunnel that may be random and enable the “Use a random passphrase” option for each conference or fixed by disabling all the options above.

      Network: allows you to manage TCP/IP video and audio by setting the TTL (Time To Live).

      EUS: if checked, the network profile provides for the use of EUS.

 

General profile

In this section you can create profiles for the conference by making choices on different parameters.

Without a doubt, the most relevant section of the scheduler because it allows you to make a choice concerning audio, video and data quality then is used by each conference.

The general profile is a “template” or model of the conference, which finds practical applications in the conference.

      Registered general profile: listed here are all the general profiles created with their characteristics.

      Search: allows you to find the profile by typing in all or part of the name.

      General: indicated by the general profile name, the target to which part of the events notes are relative. There are four possible target choices:

EMOnCall: this target identifies the profiles used by the conference transmitted by the easymeetingOnCall agent.

Outlook: this target identifies the profiles used by the conferences organized by the email software (for example. Microsoft Office Outlook®).

General: this target identifies the standard configuration of the profiles which are booked through the easymeeting™ Server and easymeeting™ Scheduler.

VCM2EM: this target identifies the profiles used by the conference convened by VCM2EM system.

      Audio: allows you to set the parameters for the relative transmission of the audio on the channel of the client.

Codec: allows you to choose to use the codec.

Bit rate: established in kbits per second, the capacity used for the transmission of a single-channel audio.

Typical values of audio band are 44kb for a normal conference, 22kb for a mid type conference and 13kb for a low type conference.

Channels: allows to select the number of audio channels to be used in the conference that applies this template.

Decode all: if checked all audio channels are decoded.

      Datacast: allows you to set the parameters relative to the transmission for data between the server and client.

Bit rate: established in kbits per second, the capacity used for data transmission.

Casella di testo: i	Typical values of the band datacast are 250kb for a normal conference, going up to 500, 600kb for a high type conference or where you need to send heavier documents. As you can see, the greater the dimensions of the sent document, the greater the time taken for delivery of the same to all connected users it the meeting. Furthermore, this data should be considered depending on the connectivity available on a single user (the lower the connectivity of the remote participant, the longer the time for delivery).

Packet size: states in bytes, the maximum size of each data packet.

      Application sharing: Allows you to set the parameter relative to the sharing application (CAD, graphic design, management, etc.).

Bit rate: stated in kbits per second, the capacity used for the transmission of the shared application.

Casella di testo: i	Typical values of band screen sharing is 250kb for normal conferences, going up to 600kb for high type conferences or where you must share a portion of the screening wider. Obviously, the greater the portion of the split screen, the greater the bandwidth required to refresh the image at the same time slot; for the same bandwidth, the lower the portion of the shared desktop, the higher the refresh rate of the image.

Packet size: stated in byte, the maximum size of each packet.

      Video: allows you to set the parameters relative to the transmission of the video on the channel of the client.

Codec: allows you to choose the type of encoding to use. It’s possible to select FBK1 or FBK2 (the second lets you see colors more alive, compared with the higher average consumption of around 20% of the band set).

Fps (Frame per second): determines the number of frames per second that are captured by the video channel. Typical value is 20 frames per second, which is the typical parameter of the human eye.

Lfp: provides (in tenths of seconds) the interval between each update of the user represented in the Users window.

Active channels: Allows you to choose the number of full-duplex channels simultaneously active in the conference, the maximum number is 20. Note that the greater the number of active channels, the greater the bandwidth consumed by the conference. Typical value is 3, 4 full-duplex channels, so that the communication is also possible with a simple ADSL consumer.

Typical values are 120kb of video conference type_low, 200kb conference type_mid, 350kb regular conference, 500kb conference type_high.

Packet size: states in bytes the maximum size of each video packet.

      Size: allows you to define what size to send the video selection of the default or of the custom. Customized sizes can be inserted after the choice of the custom size in sections Dimension X and Dimension Y.

      Special option (Force the client to use audio/video from server): this option allows the server administrator to oblige all clients to connect to the conference to set and use the use audio / video details from the meeting and not the individual user. If the option is not checked, the client will choose the example of the video band, the lowest value between what is stated in its configuration file and the one described on the server. The rules for selection are defined in the following table and vary depending on parameter:

ConferenCe

In this section you can create, edit and delete conferences.

The conference is the specific event which occurs at a given moment, in which users and groups can participate.

The section allows you to choose the period in which the conference will take place, the profiles (of the network and general) to be used and further options will be explained in detail in the next paragraph.

 

Manage conference – Conference

      Registered conferences: here is a list of all conferences created with their characteristics.

      Search: Allows you to find a conference list. Can be used as search parameters the name or part of the conference, the network profile or the general profile.

      General: defines the general parameters of the conference: name, title and type; which can be:

ManyToMany: defines a conference with more than two participating users.

OneToOne: defines a conference with only two participating users.

OneToOne Direct: defines a conference in which only two users who share their audio and video streams directly, ie without passing through EUS, or in a Multicast Tunnel.

ManyToMany Auto: defines a conference in which more than two users are auto enabled directly on the active channels until exhausted. The first channel is always reserved for the supervisor of the conference.

      Expiration: the duration of the conference. Where allowed, it’s possible to create unlimited conference selecting “No”, or choose starting and ending date & hour. Type, or select a start and end time: in this time slot, the conference will be accessible to all users and all groups who have permission to access.

      Profile: here must be selected the network profile and the general profile used in the conference (editable via the Modify button).

      Special options: this section defines the standard features of the conference:

Keep conference status: This option allows the server to store the state of the conference and, if a user logs on, the windows are the same screen displayed by the other people present in the meeting (for example, the whiteboard is open or not).

Request user invite: this option adds a further control for access to the conference. When set, it is necessary to type, in addition to username and password, a PIN code decided and communicated in advance by the supervisor.

For the mechanism to work properly it is necessary that the supervisor is the first to access the conference by checking the "pin" and typing the code of your choice. The PIN is not stored in the server, but is simply set by the Supervisor, the first access to the conference by entering the code.

Enable videolearning™: This option allows the use of the videolearning™ function.

Manage more than 20 users: This option allows access to the conference more than 20 users and in this case the Users window connected will not be displayed with a low refresh images, but with a text list.

Enable session recording notification: this option allows all users to know the user who is recording the conference as a red dot appears in the Users’ window in respect of each user who is recording the meeting.

Enable passive users notification: this option allows the supervisor to be informed with a message from the server, of the presence of passive users as they enter or exit the conference.

Disable booking list for common users: this option removes the normal users to view the booking of others - of course, the supervisor has always visible the order of bookings received.

Disable sync PPT/ whiteboard for user not enabled: this option restricts the use of the synchronization of files and PowerPoint Whiteboard only to users on the full-duplex channels.

Limit the number of participants: this options allows you to enter the maximum number of users to participate in the conference (the number must be specified in the User field)

 

Partecipants

In this section it is possible to match the user and the group to the conference

If your user is not included among the conference participants or not part of one of the groups entitled to participate, you may not access the conference.

Users, both groups may be linked to several conferences, even if they overlap time and / or date.

To insert a user or a group in a conference you can:

1.    select the conference from the table above

2.    select in the left column of the respective section of the user or the group

3.    click on the button pointing to the right.

To remove a user or a group from the conference, run the operation in reverse:

1.    select the conference

2.    select the user or group you want to remove from the right column of the relevant section

3.    click on the button pointing to the left.

Also in this section you can find a conference given by the parameters Name, Network Profile or General Profile by inserting a specific name or part of it in sections and using the Search button at the top; you can also search for a particular user by specifying the name or the username by pressing the Search button below the list of conferences on the right. The Search button located at the bottom right allows you to search by name or part of a particular group.

 

Manage conference – Participants

 

Gateway

In this section it is possible – if supported by your license – to match one or more conference gateway, so that it is possible to call endpoint H.323 or location GSM within the virtual conference.

Different than users, the gateway can be matched to several conferences only if they do not overlap on the timeline (even for a few seconds).

To enter a gateway in a conference is the same as for the users and groups: you select the desired gateway in the Gateway column available and you move through the arrow buttons in the Column of Gateway in use. To remove the gateway from the conference, simply run the operation that is to select the conference, select the gateway that you want to remove from the right column and click the button that points to the left. Also in this section you can find a conference given by the parameter Name, Network Profile or General Profile by inserting a specific name or part of it in sections and using the Search button.
